Setup shifts and assign an operator to it
Shifts define when an operator is active and which sites are routed to their queue. You create a shift in Settings, then assign an operator to it when sending the invitation. Operators assigned to a shift automatically receive that shift’s sites in their QUEUED SITES when they start their shift.
Before you begin
- You must have the Super Admin role.
- Create your shifts before inviting operators — operators can only be assigned to shifts that already exist.
Part 1 — Create a shift
- Click the gear icon at the bottom of the left sidebar to open Settings.
- Select Configure shifts from the Settings menu.
- Set the Time zone for this shift using the dropdown. This controls when the shift starts and ends in your local time.
- Under Add a shift, fill in the fields: Shift name (required) — a short label, e.g. A, Morning, Night. Start time (required) — the shift start time in AM/PM format. End time (required) — the shift end time in AM/PM format. Description (optional) — any notes about this shift. Use as default toggle — turn this on if you want new operators to be pre-assigned to this shift unless you choose otherwise.
- Click Add Shift. The shift appears in the Configured shifts list below, showing its name, start time, end time, and the number of users assigned to it.
Part 2 — Assign an operator to the shift
Shift assignment happens during the operator invitation. You cannot assign an existing user to a different shift from this screen — to change a shift assignment, edit the user from User Management.
- Go to User Management from the left sidebar.
- Click + INVITE NEW USER.
- Fill in the operator’s details (First Name, Last Name, Email Address).
- Under Account Settings, set GCSurge Role to Operator.
- A Shift dropdown appears. Select the shift you just created (e.g., A (Default)).
- Click SEND INVITATION.
What happens after assignment
- The operator appears in the User List with role Operator and the assigned shift shown in the Configured shifts user count.
- When the operator logs in and clicks Start Shift, all sites linked to that shift appear in their QUEUED SITES ASSIGNED TO YOU panel automatically.
- The shift’s user count in Configure shifts increments by 1 for each operator assigned to it.
Managing existing shifts
In the Configured shifts list, each shift row shows its name, default badge (if applicable), start time, end time, and user count. Click the three-dot menu on a shift row to edit or delete it. Deleting a shift does not remove the operators assigned to it — they remain active users but lose their shift assignment.
